Your Role on the Team 

As the Executive Assistant & Office Manager, you’ll be the ultimate support system for our CEO and the go-to operations person for our vibrant community hub and office space. You’ll be juggling calendars, planning logistics, organizing our gear like a pro, and making sure things run smoothly—all while being part of a team making a real difference. 

What You’ll Be Doing (Key Responsibilities): 

Executive Support (CEO & Leadership) 

  • Calendar wizardry: schedule meetings, events, and keep everything running on time 

  • Coordinate travel and event logistics (flights, accommodations, itineraries) 

  • Support with board and partner communications, taking minutes, preparing presentations 

  • Keep documents, contracts, and records organized and up to date 

  • Help manage communications and follow-ups so nothing slips through the cracks 

Office & Hub Management 

  • Be the heartbeat of our space—overseeing day-to-day operations of our community hub and office 

  • Inventory master: track, manage, and organize gear, apparel, and supplies 

  • Coordinate with vendors and service providers (tech, maintenance, deliveries) 

  • Create an organized, welcoming, fun and functional space for our team and community members 

  • Support community events and activations—occasionally roll up your sleeves for on-site fun!

What We’re Looking For (Qualifications): 

  • Proven experience as an Executive Assistant, Office Manager, or similar role 

  • Exceptional organizational and time management skills 

  • Strong written and verbal communication 

  • Tech-savvy: comfortable with Google Workspace, Excel/Sheets, and other online project tools  

  • Ability to handle sensitive information with discretion 

  • Experience working in or alongside Indigenous communities or non-profits is a strong asset 

  • Bonus points if you love sport, music, laughter, and making magic happen behind the scenes

Vancouver Island Program Coordinator

Job Title: Vancouver Island Program Coordinator 
Location: Central Vancouver Island, BC (Hybrid – remote with travel to community programs) 
Position Type: Part-time (with potential to grow to full-time) 
Start Date: As soon as we find the right fit!
Compensation: Based on experience 

Your Role on the Team 

As the Vancouver Island Program Coordinator, you'll be the connector, the organizer, and the energy behind our community-based sport and wellness programs. You’ll ensure our programs run smoothly, coaches feel supported, families are in the loop, and our gear gets where it needs to go. You’ll play a key role in nurturing strong relationships with families, caregivers, and community partners while making sure all the behind-the-scenes magic happens on time. 

What You’ll Be Doing: 

  • Plan, coordinate, and help deliver sport and wellness programming across multiple communities 

  • Communicate with families and community partners about program schedules, logistics, and updates 

  • Recruit, onboard, and schedule awesome coaches and volunteers 

  • Manage registration, waivers, and all program-related documentation 

  • Organize and distribute equipment and materials for each program site 

  • Troubleshoot and problem-solve with grace when things don’t go as planned 

  • Travel to program sites to support setup, delivery, and relationship-building 

  • Be a positive, passionate ambassador for Hope and Health in every community you support 

What You Bring: 

  • Super strong organizational skills (you love lists and calendars!) 

  • Great communicator and natural relationship builder 

  • Experience working in or alongside Indigenous communities and youth programs 

  • Familiarity with community programming, coaching, or youth sport 

  • Tech-friendly (comfortable with MS Office and basic digital tools) 

  • Able to manage multiple priorities and pivot as needed 

  • Available to travel across Central Vancouver Island 

  • Passion for creating safe, fun, and meaningful experiences for Indigenous youth 

Bonus If You Also Have: 

  • Coaching experience or sport background 

  • Experience leading youth groups or facilitating activities 

  • A love for community events, cultural connections, and working with purpose
